How to use Zapier: AI automations you can build today, honestly explained, with 6 prompts to copy

Zapier has folded its AI agents into ordinary Zaps, and that makes it far easier to add one smart decision to a workflow you already trust. Here is what changed, what it costs in tasks and six automations worth building this week.

The short answer

Zapier is a no-code automation platform from Zapier, Inc. that connects more than 9,000 apps. Its AI now lives mainly in the AI by Zapier step, which absorbed the standalone Zapier Agents in autumn 2026: one step inside a Zap that reasons, calls tools you pick and can require approval per tool. Copilot builds Zaps from a plain-English description, and Zapier MCP lets Claude and ChatGPT act in your apps. The free plan includes 100 tasks a month.

What Zapier's AI is now

Zapier's core has not changed: a trigger in one app, such as a new form entry, starts actions in others, such as a CRM update and a Slack message. Each of those workflows is a Zap. What changed in autumn 2026 is where the AI sits. Zapier Agents, which used to be a separate product with its own triggers, is now AI by Zapier, a single AI step you drop into any Zap.

That step can do what an agent did. You give it a goal, pick tools from a tools picker, and it decides which ones to call. It can reference knowledge sources while it reasons and return structured fields, such as a category, a sentiment score or a subject line, that later steps map like any other data. You choose a model tier, Standard, Advanced or Premium, or name a specific model.

The important safety change is the toggle called Require approval before running, which you set per tool rather than per agent. The AI can read a spreadsheet freely but must ask before it emails a client. Zapier's help article, updated 1 October 2026, also describes a per-run task limit: a run that goes over it pauses for your review. The default is 75 tasks and you can raise it to 500.

If you built agents before, they keep running for now. Zapier says it has not set a date to turn Agents off and will email users before it does. To move one, open agents.zapier.com, click Migrate your Zap, then Open Zap, review the prompt and tools in the Configure tab, click Preview, test, publish, and finally click Turn off agent so the old agent and the new Zap do not both act.

Copilot and Zapier MCP

Copilot is the chat builder. Describe the outcome, such as "enrich new leads and route them to the right sales rep", and it sets up the Zap, including filters, paths and field mappings. It can also build Tables, Forms, Chatbots and Custom Actions, and it accepts an image or a sketch of your process. You can tell it to ask for confirmation before it builds, which is the setting to use while you learn. Copilot is unlimited on paid plans and has a daily message limit on Free.

Zapier MCP works the other way round. It lets an AI assistant you already use, such as Claude, ChatGPT or Cursor, take actions in your apps through Zapier's connections. Add Zapier MCP to the assistant, choose which apps it may use, and ask for what you need. It is included on every plan, but each tool call uses two tasks from the same pool as your Zaps.

Concrete AI automations worth building

Inbound lead triage

Trigger: a new form entry or a new HubSpot contact. AI by Zapier step: read the entry, classify the lead as hot, warm or cold with a one-line reason, and return a suggested owner. Then a standard step creates the CRM record and posts hot leads to a sales Slack channel. Keep the CRM update automatic and put approval on any email to the lead.

Support inbox sorting

Trigger: a new email in a shared inbox. The AI step returns a category, an urgency score and a draft reply. A Paths step sends urgent messages to a person and logs the rest in a Zapier Table. This is close to Zapier's own Support Email Agent and Zendesk Ticket Agent templates.

Meeting prep brief

Trigger: a calendar event starting in one hour with an external guest. The AI step looks up the company, pulls recent emails with that contact, and writes a five-line brief to Slack. Zapier lists a Meeting Prep template for exactly this.

Slack thread summaries

Trigger: a reaction emoji on a Slack thread. The AI step summarises decisions and open questions into a Google Doc. Small, safe and popular with teams who miss long threads.

Expense sorting

Trigger: a new receipt in an email folder. The AI step extracts merchant, amount and date and assigns a category, then a standard step adds a row to a sheet for finance to review.

Where Zapier falls short

  • Tasks add up. AI by Zapier steps bill in tasks, and stronger model tiers multiply the cost; Zapier's own examples show one step costing 1, 3 or 5 tasks. MCP calls cost two tasks each. Watch Zap History for the per-run breakdown.
  • The free plan is narrow. Two-step Zaps only, 100 tasks and 15-minute polling. You cannot put an AI step between a trigger and two actions.
  • Some knowledge sources are missing. HubSpot, Asana, Zendesk, Zoom and Jira are not yet supported as knowledge sources in AI by Zapier; Zapier plans them for Q4 2026.
  • Copilot gets details wrong. It is fast, but check every step it builds before you switch a Zap on.

How to build AI Zaps that behave

  1. Keep the AI to the decision. Let the AI step classify, extract or draft, and let standard steps do fixed actions such as sending a confirmation in a set format.
  2. Ask for structured output. Define the fields you want back, so later steps never have to parse a paragraph.
  3. Turn on approval for anything that leaves the company. Emails to customers, payments and deletes should wait for a human.
  4. Click Preview before publishing. It runs the AI step on sample data and shows the output, tool calls and task usage.
  5. Start on the default model. Move up a tier only when the cheaper one gets answers wrong.

Privacy and which plan to choose

Zapier's legal page, updated 2 July 2026, says Enterprise customer content is automatically excluded from model training and improvement, and its subprocessors may not train on customer content. On other plans you can opt out at any time through a form linked from that page. AI Guardrails by Zapier can check for personal data inside a workflow.

Free is for trying a two-step idea. Professional is the real starting point for AI work, because it adds multi-step Zaps, unlimited Copilot and 1,500 Agent activities a month. Team adds up to 25 seats, SAML SSO, shared connections and a six-month audit log. Enterprise adds SCIM, a one-year audit log, workspaces and custom task history retention, and admins can have MCP switched on or off per workspace through their Zapier account manager. See the Zapier pricing page for current prices.

Pick Zapier if your team is not technical and needs to connect many apps quickly. If you build complex branching flows at high volume, compare it on Zapier vs Make and Zapier vs n8n, or read our Make guide and n8n guide.

Prompts to copy

Ask Copilot for a lead router

Build a Zap: when a new entry arrives in [form tool], use an AI step to classify the lead as hot, warm or cold with a one-sentence reason and a suggested owner from this list: [names and territories]. Create the contact in [CRM], and post hot leads to the #sales Slack channel. Ask me before you build anything.

You get: A draft lead-routing Zap you approve step by step

Instructions for a support triage AI step

You read incoming support emails. Return three fields: category (billing, bug, how-to or other), urgency from 1 to 5, and a draft reply under 120 words in a friendly, plain tone. If the customer mentions cancelling, set urgency to 5. Never promise refunds.

You get: Structured fields later steps can route on

Meeting prep brief

For the meeting attendee [email], look up their company website and the last three emails we exchanged. Write a brief for Slack with five lines: who they are, what they want, open questions, one risk and one suggested next step.

You get: A short brief before every external call

Slack thread to decisions doc

Summarise this Slack thread into a Google Doc with three headings: decisions made, open questions with owners, and deadlines. Use only what is in the thread and quote names exactly.

You get: A clear record of what a long thread decided

Expense extraction

From this receipt email, extract merchant, total amount, currency, date and a category from this list: travel, software, meals, office, other. If any field is missing, return 'unknown' rather than guessing.

You get: Clean rows for finance with no invented values

Use Zapier MCP from Claude or ChatGPT

Using Zapier, find every row in my [sheet name] sheet where status is 'waiting on client' and the date is older than 7 days. List them for me first, then draft a polite follow-up email for each. Do not send anything until I confirm.

You get: A follow-up list and drafts, with sending held for you
